InnoGPT successful implementation in the team
A practical guide to systematically and sustainably anchoring InnoGPT in your team.
Important note before we begin: Without a structured approach and an official tool like InnoGPT, your colleagues will quickly turn to freely available alternatives like ChatGPT on their personal devices. This leads to the emergence of uncontrolled shadow IT, which poses a significant risk to your data protection. A planned process is therefore essential to ensure that AI can be used securely and in compliance with regulations within the company.
1. Lay the Foundation & Define the Rules
The most important first step is the full commitment of senior management. Without this backing, any AI initiative is doomed to fail.
Clearly communicate the vision and strategic goals to be achieved with InnoGPT to the entire team. Define binding rules and guidelines from the outset—for example, regarding data security or the labeling of AI-generated text—to create a secure framework for everyone.
2. Appoint an AI Officer & Champion Team
Appoint a central AI Officer to serve as the primary point of contact for all strategic questions.
Additionally, form a team of motivated “champions.” These are AI-savvy employees from various departments who act as direct contacts, role models, and advocates, spreading enthusiasm for the topic throughout the company.
3. Provide a secure environment
Ensure technically that all employees use only the official and privacy-compliant InnoGPT platform for their work. Preventing the use of insecure, external AI tools is essential to guarantee the protection of sensitive company and customer data at all times.
4. Conduct practical training
A successful launch requires a multi-stage training approach. First, conduct mandatory basic training for the entire team. Topics include: AI fundamentals, clear dos and don’ts, key data protection considerations, and basic platform usage.
In a second, advanced training session (2–3 weeks later), you can then cover specific features such as creating and using assistants.
5. Establish active coaching & knowledge sharing
The rollout is not a one-time event, but a process. Support your team through active coaching, especially the champions. Create regular, straightforward formats for ongoing exchange, such as a weekly “AI coffee” or a dedicated channel in your messenger app, to share best practices, clarify questions, and celebrate successes.
6. Measure & Highlight Successes
To keep motivation high in the long term, successes must be made visible. Try to make the benefits of InnoGPT measurable, whether through concrete time savings on routine tasks or an improvement in the quality of results. Communicate these “wins” proactively and regularly to the entire team.
Remember: The introduction of AI is a change management initiative that transforms culture and work practices. Allow sufficient time for this process; often, achieving sustainable adoption can take several months.
